CBSI Adds Document Scanning and Archiving to Acu-Track II Software

CBSI’s new document scanning and archiving function allows users to easily store and retrieve any document within the Acu-Track II software, leading to improved inventory control and customer service.

Computer Business Systems, Inc., a leading provider of business management software for wholesalers and distributors, announces the release of a document scanning and archiving upgrade to its Acu-Track II software.   

The new feature allows the user to scan any type of document, create a PDF file with Adobe Reader, and store it in an archive database with multiple indexes and keywords for easy retrieval. The scanner must be TWAIN compatible, which describes most scanners on the market. 

During retrieval, the file is located using keywords and can be printed, faxed, or emailed. The software presently archives internally created documents such as quotations, invoices, and credits. This addition provides the user with full access to all customer records, improving interdepartmental communication, work efficiency, and customer service.

Acu-Track customizes the multiple-index functionality according to the customer's specific needs. Typical indexes include purchase order number, customer account number, and customer order number. The search tool itself is located on the same screen used to find other documents such as month-end reports.

“Adding document scanning and archiving was the natural, next step in the evolution of Acu-Track,” says George Walters, creator and president of CBSI. “Many wholesale and distribution companies that use the software—particularly plumbing, HVAC, and general industrial supply—need to archive documents that are created outside the system, such as material safety data sheets and certification sheets. To help companies save time and keep better records, these items should be stored the way other documents are stored—inside the system.”
